General Terms and Conditions

1. Booking & Payment

To join one of our retreats, simply complete the registration form. Once we receive your request, we will confirm availability and send you a secure payment link to place a CHF 500 deposit, which confirms your spot. The remaining balance will be invoiced and is due 30 days before the start of the retreat.

For bookings made within 30 days of the start of the retreat, full payment is requested at the time of confirmation.

Please note:
The deposit is non-refundable, as we immediately secure accommodation, services, and logistics on your behalf.

2. Cancellation & Refund Policy

We understand that plans can change, and we aim to handle cancellations in a fair and transparent way, while also protecting the quality and organisation of our retreats.

2.1 Participant cancellation

  • More than 30 days before the retreat:
    The deposit (CHF 500) remains non-refundable.
  • Less than 30 days before the retreat:
    Unfortunately, no refund can be offered, as accommodation, services, and logistics have already been secured.

 

However, if we — or you — are able to find a replacement participant for your spot, a full refund (including deposit) will be issued.

2.2 Cancellation by Agence K

If Agence K cancels a retreat for organisational or personal reasons (such as insufficient participants or illness), a full refund will be provided, including the deposit.

2.3 Force majeure & unforeseen circumstances

In the event that a retreat must be cancelled or postponed due to circumstances beyond our control (such as natural disasters, pandemics, travel restrictions, war, strikes, or similar events):

  • Your deposit will not be refunded, but can be transferred to any future Agence K retreat within 24 months.
  • Any additional amount paid can either be :
    • fully refunded, or
    • transferred to a future retreat within 24 months (subject to availability).

 

3. Travel insurance

Agence K cannot be held responsible for any additional costs incurred by participants (such as flights, accommodation before/after, visa fees, or loss of income). For this reason, we strongly recommend taking out comprehensive travel insurance when booking your retreat.
